The successful candidates should have:
• Excellent organizational, communication and negotiation skills
• Leadership skills
• A minimum of 3 years of professional experience in Travel Coordinator position
• Professional level of Azerbaijani, English and Russian languages
The successful candidate will be responsible for carrying out the following activities:
• Provides service to all aspects of the day to day travel, including ticketing & booking functions, management of unused tickets, discounts, corporate meeting arrangements and customer information desk
• Is an integral part of the delivery of the service and ensures transportation scheduling is in accordance with corporate policies and procedures.
• Provides standard and ad hoc reporting to management as directed.
• Under general direction, reviews administrative functions for accuracy and effectiveness within a specialized function.
• Assists in coordinating the work of others on assignments and allocates work to an assists less experienced team members.
• Flights arrangement for projects personnel
• Hotel booking for all visitors
• Hotel and hire car arrangements for the employees during business trip out of country
• Ensure that flights costs are within the range of norm and coordinate costs with management
• Arrange TRF (ticket requisition forms) for CEO’s approval before issuing tickets
• Send approved TRF to Agency to issue tickets
• Check invoices from airlines and agency on monthly basis
• Liaise with Finance department , provide with requested cost codes for flight, letters of invitation, hotel arrangements
• Liaise with HR department to ensure employees visa is in place to travel
• Arrange letters of invitations through Ministry of Foreign Affairs
• Transportation to/from airport for the visitors, employees coordinating with Agency representative and drivers
