Job Title: In Country Manager’s Assistant

Location: Baku, Azerbaijan

MAIN PURPOSE OF JOB:

Assistant the Country Manager and Delivery Manager in AGT contract to assist with managing the PO’s process, travel and accommodation arrangements, training requests, metrics reporting, project administration and general administration support.

PRINCIPAL DUTIES, RESPONSIBILITIES AND ACCOUNTABILITIES:

Purchase Order Process

Assist with maintaining an overview of Purchase Order’s raised for the BP contract to ensure that a standard approach is used including authority levels matrix, Purchase Order process adherence, Purchase Order content.
Organise and support Country Manager in monthly budget meeting with review of PO spend to date and future forecast.
Review aged debt report and provide feedback to Country Manager of any invoices that are approaching 60 days unpaid.
Help maintain any relevant continuous improvement plans for the Delivery Team Leaders on the BP Project.
Travel & Accommodation
Assist Country Manager & Delivery Managers with the booking of training on the BP contract.

Assisting with the management of ensuring the training authorisation and request process is adhered to.

Arrange and maintain all travel & accommodation requirements for the  contract.

Project Administration

Act as the point of contact between Project Coordinator, Project Managers, Delivery Manager and Country Manager
Become familiar with all ongoing projects in the AGT region and records/reports required, relating to these projects

Assist with the maintenance of the Project filing system and ensure the Project filing system is followed

Inform various managers as and when reports fall due and record receipt of satisfactory reports from the managers

Assist with the preparation of project trending reports, QPR, MPR, Dashboard and Monthly HSE report

Attend and minute project meetings, client meetings and HSE meetings as and when required.  All minutes should be recorded along with actions in the AGT Action Tracker.

General Administration

Organise regular meeting schedules e.g. Team Leaders meeting, monthly budget meetings, monthly performance meeting, monthly HSE meeting.  As per the meeting schedule picture board.

Obtain and distribute improvement action log from QA/CQI department to relevant responsible action parties at least once per month.

Maintain weekly personnel tracker for key staff (i.e. all named personnel on high level organisation chart) related to BP AGT contract for distribution.  
Monthly updates and distribution of Inspection Engineer witnessed inspection programme/plan.
Monthly update of Audit plan and audits complete against plan.
Assist and help with any other admin related activities for the Delivery Managers as requested.

General

Assist with any other duties as and when required.
Undertake specific projects as instructed by management.

Safety

Align the applicable aspects of Quality Management and HSE Management Systems.
Other
Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems.
Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company.

QUALIFICATIONS & TRAINING:

E – Essential
P - Preferred
E – Required to have good leadership skills.
E – Needs to have good analytical skills.
E – Good communication and inter-personal skills.
P – Should be efficient enough in using project management software.
E – A high school diploma.
P – Bachelor’s Degree in Business administration or Project management.

E – MS Office
P – MS Project/Primevera
P – APMP Certification

EXPERIENCE (WORK):
E – Essential
P - Preferred

E- Minimum of 2 years experience in a similar role within the Oil & Gas Industry
